Unification of HR processes in a group of companies

Summary of the project

Chemosvit Group is a group of companies focused on the production, refining and sale of flexible films, plastic products, including recycled ones, polypropylene fibers and engineering products and packaging machines. The main reason why the Chemosvit group of companies opted for the new IS was the change of ERP in the Chemosvit and Finchem group of companies. Until then, the customer had been running the HR agenda from HR to payroll in its own solution. For the efficient operation of the individual companies within the entire group, it was necessary to optimize and unify the HR processes, eliminating the existing differences.

Challenges and requirements

Within the Chemosvit Group, it was necessary to create a stable, unified environment, capable of covering processes ranging from staffing planning, employee training and medical check-ups to payroll processing. At the same time, automate and simplify these processes as much as possible.

 

Due to the long history, the implementation needed to resolve certain non-standard requirements of the system, according to the customary practices within the individual companies, but at the same time maintain the benefits of unified inputs and outputs.

 

Main requirements:

  • Initial analysis of individual companies within the group, looking for commonalities and understanding the differences in processes between them,
  • Efforts to design the project in such a way as to unify processes as far as possible, taking into account differences,
  • implementation itself, linking to the existing time and attendance system (automatic replication of new employees + back import of time and attendance into payroll via dtb),
  • SAP interconnection in two planes - master data + output to UCT,
  • Programming of required rework (setting up automatic processes for bonus calculation according to specific criteria, tracking employee history across all companies,
  • testing, training, support.

 

Each company has its own specificities in the personnel and payroll process, which result from different collective agreements. The in-house, custom-developed IT solution ORION was to be replaced by the comprehensive payroll and HR solution SOFTIP HR PLUS and SOFTIP HAPPY HR in order to eliminate duplication of activities, increase user comfort and optimize the processes in the processing of payroll and HR agenda.

Results and benefits

As part of the project, a separate database of all employees who worked in the individual subsidiaries of the Chemosvit and Finchem Group was completed for the customer (for the purpose of recording the time worked). The data is currently used in the payment of jubilee bonuses, severance pay and a separate supplement - the age automat.

By implementing the solution, the customer gained:

Unification of inputs to and outputs from the programme across all companies
Modernisation of the user environment
Reorganisation and optimisation of HR work processes
Work in one system (replacement of modules payroll, HR, ...), more comfortable work with data
Independence in payroll processing - creation of various reports, imports, financial transactions
Rapid incorporation of legislative changes
Online access to selected data via a web application, with the possibility of access via mobile device
Electronic communication with employees via SOFTIP HAPPY HR
