Electronic signing of amendments to employment contracts has saved us time and money

Summary of the project

The Dr. Max pharmacy chain is one of the most important in Central Europe.

It operates in 17 countries of the old continent through almost 3,000 pharmacies. In Slovakia, Dr. Max Holding operates more than 420 pharmacies with more than 3,300 employees serving approximately 25 million patients annually.
The introduction of electronic signing of amendments to employment contracts has brought the company significant cost savings associated with signing paper employment documents. It is not tied to the location of the employee. After the initial deployment, almost 3 000 documents were electronically „processed“.

Challenges and requirements

With such a large number of employees, moreover, stationed in different regions of Slovakia, the company faced the challenge of fundamentally changing the process of signing employment contracts, changes or amendments. The existing process was very time-consuming and logistically demanding. In many moments, it was a rush job, which overloaded the team.
The computerisation of the process of signing amendments to employment contracts and the creation of an electronic archive proved to be a viable solution. In the first phase of the project, Dr.Max focused on the signing of all types of amendments to employment contracts (e.g. change of hours, change of salary, change of variable component of salary) and various combinations of all types of amendments. Dr. Max is also currently analysing further possibilities for the use of electronic signatures in the field of employment law, also with regard to the current legislation. The key requirement was simplicity of signing and legal certainty, which was confirmed by the legal analysis. The solution was the implementation of DocuSignBridge in the cloud environment MS AZURE - Kubernetes, which enabled communication with the personnel system SOFTIP HR PLUS located in the customer's local network.

The aim was to relieve the burden on the HR department, increase the speed and efficiency of its work, and eliminate a lot of paper documentation. A significant benefit was saving time without the need for employees to travel to sign the document and saving costs (postage and materials), increasing security when sending employment documents by mail. The solution required:

  • set up a procedure (workflow) and methodology for signing them,
  • prepare the basis for creating the cover in DocuSign,
  • start the transfer of documents and information about the signing process between SOFTIP HR PLUS and DocuSign.
The project was carried out in parallel in two teams, which carried out work on SOFTIP HR PLUS and on the development of the new DocuSign Bridge application. Customers were impemented with a defined signing workflow - the number and order of signatories, completing the process according to the options provided by DocuSign. The following has been created connection to the SOFTIP HR PLUS HR system, which is at the start of the document, acts in the position of the IS producing documents for signature and also at the finish, the signed documents end up in it. In the framework of SOFTIP HR PLUS new services implemented for defining the data of the signatories and for defining the repository of the signed document needed in the signing process.

Results and benefits

The simplification and acceleration of the signing of the company's labour-law documents has brought significant time savings and cost reductions. The electronic signing can be started by the customer directly via the SOFTIP HR PLUS application. There is no need to log in to other applications. The SOFTIP HR PLUS HR system simply prepares the documents for DocuSignBridge.

DocuSignBridge can respond to defined events in the signing process. It offers notifications via email messages and storage of signed documents by all signatories to a specific defined location. In this way, the customer also gets an electronic archive of signed documents.
The deployed solution is suitable for those interested in electronic signing of labour-legal documents, which can come not only from the SOFTIP HR PLUS personnel system but also from other IS. The improved electronic signature provided by DocuSign as a standard enabled to achieve the required level of security, legal binding and user simplicity. In addition, electronic documents are easily archived and traceable, which greatly facilitates their management.
The solution architecture is open for its extension with new IS generating documents for signature, including the workflow for signing and processing signed documents.
